Introduction
Welcome to the new and improved version of InScribe! This version has gone through some significant changes, new features have been added and bugs have been fixed.
Login Screen, Dictation Queue, Demographics
Login Screen
Password Expiration
Transcription companies can now control the password for a user login. They can now set the number of days until a password expires and prevent typists from using simple passwords. Check with your transcription company to find out more.
Dictation Queue
Mouse click to move to dictation
In addition to using the arrow buttons to navigate through dictations, typists can now move to any dictation in their queue by clicking on the desired dictation.
Jump to bottom or top of queue using up and down arrows
If you are on the top dictation in the queue, you can get to the last dictation by clicking the up arrow. If you are at the bottom dictation in the queue, you can get to the first dictation by clicking the down arrow.
Patient Demographics - Document Type Drop Down List
Patient Demographics - Document Type Drop Down List
If a doctor dictates on an un-configured recorder the dictations will arrive in InScribe without a document type. The typist will transcribe and mark the document done. If InScribe detects the document type is missing or invalid, the typist will be prompted with the option to select a valid document type.
Doc type can now be displayed as short name or long name
Typists now have the option of displaying the long name versus the short name in the drop down. The short name will show up by default if the typist switches to the long description that description will be saved in the typists settings for the next time the typist logs in. Typists can switch by clicking on the icon to the right of the drop down, by using the shortcut Ctrl+Alt+X, or from the options menu.
Limit document selection by security group
The list of Document Types for a dictating clinician is determined by that dictator's Document Type Security Setting. If a clinician only has access to certain document types then only those document types will be available for selection.

Clinician names now viewed as 'last, first'
The clinician names in the drop down under the Demographics section and under the Authorizations section will now display as last, first.

The amount of time it takes to load a large list of dictators (500+) has been significantly improved.

Dictation Menu
Insert Time (Ctrl+Alt+T)
NEW - Inserts a special bracketed field called a time marker into the transcription. This field is displayed as [TIME X:XX] where X:XX is the point time in minutes and seconds of where the dictation is marked. The typist can use the Fields function (usually F1) to jump to time marker to start playback from that point.

Check For Existing Transcription
NEW - Allows the typist to restore a job that had already been typed. In the rare event a dictation loads into InScribe that the typist has already completed (due to internet/server communication problem), this function can be used to restore the transcription and demographics.

Get Prior Transcriptions (Shift+F1)
IMPROVED - Typists can now search for prior transcriptions by patient, dictator, and doc type or any combination of the three. The prior transcriptions window will also display column headings for TID, Appt Date, Dictation Date, Clinician, and Doc Type.
Transcribe In Microsoft Word (Ctrl+Alt+W)
REMOVED - from menu, but still available on the transcription editor tool bar. Note: Recommended ONLY to use the Microsoft Word spell check for those typists who use Stedman's medical dictionaries or any other popular dictionaries that can be used with Word.
Insert Dictator into Transcription (Shift+Ctrl+Down arrow)
NEW - Type a few letters of the clinician's name and select Insert Dictator into Transcription (from the Transcription drop-down menu) or press Shift+Ctrl+Down Arrow. This will give you a list of clinicians whose name matched what was typed. Use the arrow keys or the mouse to select the correct clinician. The clinician's full name and credentials will be inserted over the few letters that were typed.
Refresh Dictator List
NEW - Used only for clients with a large number of dictators (500 or more). This allows the typist to refresh the clinician list in the event a new clinician was added and that list needed to be updated.
VR Menu
Note: This menu will only be visible when a voice recognition job is being edited or transcribed in the M*Modal AnyModal Editor (AME).
Attach Selection to Playback Highlighter (Ctrl+F12)
NEW - When editing completed voice recognized transcriptions (after the 4 - 6 hours of dictator training has completed) this option will highlight each word as the dictation is played back.
Move Playback to Cursor (Shift+Ctrl+F12)
NEW - When editing completed voice recognized transcriptions this option will start dictation playback at the current cursor position *.

* - must have Rewind after Pause set to zero (see Date/Time Values under the options menu) for playback to start at exact cursor position.
Split Transcription at Cursor (Ctrl+Alt+S)
NEW - Allows the typist to break the transcription at the cursor position, copying the text to a new transcription. Used when a single dictation has multiple patients.
Check Spelling as you Type
NEW - Allows the AME to spell check as you type, any misspelled words will be underlined with a red squiggly line.
Use Double-Space After Sentence
NEW - Will automatically place a double-space at the end of a sentence.
Insert Line Break (Shift+Enter)
NEW - Inserts a single line into the AME instead of a double-spaced line.
Toggle Section (Ctrl+Alt+H)
NEW - Adds/removes an AME section heading in the transcription. If predefined sections headings are used will also display a drop down list, allowing typist to choose a section.

Toggle List
NEW - Adds a bullet point list item to the transcription in the AME.
Indent List
NEW - Indents a bullet point list item to the transcription in the AME.
Unindent List
NEW - Removes a bullet point list item from the transcription in the AME.
Increase Zoom
NEW - Zooms in on the text in the AME, allowing the typist to increase the displayed size of the text without affecting the font size of the transcription.
Decrease Zoom
NEW - Unzooms the text in the AME, allowing the typist to decrease the displayed size of the text without affecting the font size of the transcription.
Reset Zoom
NEW - Resets the zoom to the original setting.
Tools Menu
Backup Personal Files
CHANGED - By default the backup will save all autotext and user dictionaries to "My Documents folder". C:\Documents and Settings\XXX\My Documents\InScribe. Where XXX is the windows username.
Restore Personal Files
CHANGED - Restores all backed up autotext and user dictionaries. Note: in order for your restored dictionary files to be recognized by InScribe you will need to exit and restart the program.
Open Character Map
NEW - Opens up the windows character map program allowing typists to insert special characters into the transcription text like the ø degree symbol. Special characters can be inserted by copying and pasting to the clip board or by dragging the character from the character map window into the transcription text.

* Known issue - When a char is inserted a line break is generated and the cursor gets placed on the next line.
Options Menu
The options menu has been reorganized to group specific functions together.
Spelling and Typing Options
REORGINIZED - Spelling and typing options have been reordered grouping similar functionality together. Also, a new rest button has been added to default all spell checker options to original installed settings.

NEW DICTIONARIES - the word list for the Emdat dictionaries have been significantly increased with the addition of the following: Emdat2_aj.clx, Emdat2_ks.clx, and Emdat2_tz.clx. These dictionaries will be automatically added upon install.

* Two new default settings will be switched on after a new installation or upgrade: Report Doubled Words and Split Hyphenated Words.
Advanced Personal Files
This option is the version 4.3 method of backing up autotext and user dictionaries. It is partially replaced by the "Backup personal files" option located under the Tools menu.

This option, however, allows you to backup or restore different versions of your autotext and user dictionaries into different sets or locations. This allows you to have a set of autotext and dictionaries that are specific to a client. For example you can have a separate Neurology and Ob/Gyn autotext and dictionaries.
Configure a Footpedal
NEW - If the typist is using an Emdat approved footpedal this wizard will help you configure it for use with InScribe.
Continue Playback after Rew/FF
NEW - When this option is turned off playback will stop after a rewind or fast forward. This option is convenient for those typists using footpedals. This option is ON by default.

Auto-Load First Appointment
When a patient search is performed, this option automatically loads all patient demographics data for the first appointment listed in the system

Can be used in conjunction with footpedals. Makes InScribe the active program for the footpedal player when other programs on the desktop are open such as outlook or word.

Get Recalled Jobs
This command will manually retrieve transcription(s) that have already been transcribed by you in the same session. For example, if you transcribed a job and promoted it but your transcription manager needs you to make corrections and assigns the job back to you. The job would load back into your queue after a short period of time. If you needed to get the job(s) immediately you would use this command.

Spell Checker
IMPROVED - Spellcheck has changed and is now looking at each word in context to its surrounding words. This provides for improved reliability and also conforms more closely to spellcheck rules used by popular word processing programs such as Microsoft Word.

* Because of the change, some words which were not flagged in previous versions of InScribe may get flagged. In that case, simply add them to your user dictionary.
M*Modal AnyModal Editor for Voice Recognition
Voice Recognition processing has been added to this version of InScribe. Voice Recognition dictations are transcribed and/or edited using a different type of editor called the AnyModal editor (AME). The AME was developed by MultiModal technologies, a third party vendor. This editor is hosted by InScribe but is not directly part of the InScribe program, and will only be visible when a voice recognition dictation or transcription loads into the dictation queue. All other non voice recognition dictations will use the Emdat editor.
Exiting InScribe
If completed jobs are being sent to the server and the user attempts to exit the program they will see this prompt "InScribe is currently uploading transcriptions to the server. When this process is complete InScribe will automatically be closed. Would you like to allow this process to finish before exiting?"
Known Issues
The following issues pertain to the AnyModal editor. The AnyModal editor is a 3rd party editor offered by MultiModal technologies. This editor, used for voice recognition processing, is hosted by InScribe but is not directly part of the InScribe program. Because this is a third party editor Emdat, Inc. does not have direct control over these issues.However we are working closely with M*MODAL, Inc. to resolve these issues.
Issues specific to our third party vendor's AnyModal editor
  1. Ignore Domain Names in the Spelling and Typing Options dialog does not work in an AnyModal editor.
  2. Tables are not supported in an AnyModal editor.
  3. If a VR Dictation Template section name is blank, a blank section header appears in the AnyModal editor.
  4. In the AnyModal editor, if you insert a decimal value in a Field [] or between existing text, the next word will automatically capitalize.
  5. In the AnyModal editor, pressing F1(Fields) under certain circumstances will result in an HRCHECK error message. Clicking Cancel, then OK on a second message, will allow you to continue working in InScribe. Clicking Yes or No will cause InScribe to close.
  6. If the "Spelling and Typing Option to Capitalize First Letter of Sentence As You Type" is checked, typing a colon and then expanding AutoText will automatically capitalize the word following the colon.
  7. Using Ctrl+Left Arrow to jump to the previous word doesn't leave the cursor at the beginning of the word but at the end of the preceding word.
InScribe issues
  1. If a VR Document or Dictation Template section name contains an "&", Print Current Transcription puts an extra & at the beginning of the line.
  2. When patient information is edited, if the address is entered with commas and the Add to Database check box is checked, the commas are not being saved to the database.
  3. On Windows Vista when a dictation is selected the time is displayed as 00:00 of 00:00 in the lower right corner above the scroll bar. The time will display correctly once playback begins.
  4. Emdat Runtime Component v1.4.470. For those people who have upgraded to this component the following is a known issue: If Microsoft Word is launched within InScribe and the transcription is edited, closing Word will remove the Page Break properties and convert it to bordered text. Below is the Page Break after it has been converted to bordered text.
  5. The Zoom feature in the InScribe editor will not allow users to highlight with their mouse when the zoom is set greater than 150%. Workaround: you can use your arrow keys on the keyboard to highlight and make the correction.
  6. The cursor position may get lost from patient demographics when moving from one VR job to another and then accessing the Find by Name dialog.
Bug Fixes
Beta Release 4.91.302
  1. If the cursor is in patient demographics and you switch between other applications and InScribe, sometimes the cursor will not remain in patient demographics.
  2. If the Spelling and Typing Option to Capitalize First Letter of Sentence As You Type is checked, terms with periods will be incorrectly capitalized. For example, b.i.d. will convert to b.I.D.
  3. If Capitalize First Letter of Sentence As You Type is checked, terms with slashes will be incorrectly capitalized. For example, and/or will convert to and/Or.
  4. If Capitalize First Letter of Sentence As You Type is checked, typing a semi-colon then expanding AutoText will automatically capitalize the word following the semi-colon when in the AnyModal editor.
  5. Using F4 and F5 from the keyboard isn't working when in the Emdat editor.
Beta Release 4.91.297
  1. Changes to the Playback Rate are not maintained when moving to the next VR job in the dictation queue.
  2. Capitalize First Letter of Sentence As You Type in the Spelling and Typing Options dialog doesn't function correctly in the AnyModal editor. When the first letter of the sentence is in the first character position of the line, the first letter does not capitalize automatically.
  3. Backspace/Delete keys will sometimes stop working.
  4. Count Lines function doesn't complete in a long transcription.
  5. Changes to the Zoom setting are not maintained when moving to the next non-VR dictation.
  6. AutoText will sometimes not expand.
  7. If a job in the transcriptionist's dictation queue is checked back in via InCommand, the highlight bar in the dictation queue is lost.
  8. Autotext shortcuts beginning with a number always expand capitalized.
  9. Pause function cannot be accessed while typing a Carbon Copy.
  10. Editor response degrades when typing large documents, so the transcriptionist has to stop typing and wait for the editor to catch up.
  11. Accessing Microsoft Word from the Emdat editor causes Word's menus and toolbar buttons to be permanently hidden when executed outside of InScribe.
  12. Changes made to the Date Format in the Time Values dialog are not reflected in the patient demographics.
Beta Release 4.91.294
  1. If the first word of bulleted text is flagged by spellcheck and then changed, the corrected word will sometimes move to the line above.
  2. On occasion, the Change Volume and Change Playback Rate controls will switch locations on the user interface.
  3. "Member not found" message displays during InScribe startup.

  1. Existing user dictionaries are not available after upgrading InScribe.
  2. Spellcheck is highlighting incorrect words when the transcription contains multiple tables.
  3. When a transcription is loaded after an abnormal end, the location and document type are missing.

  1. Basic line count may be off. If the basic line count is selected for the transcriptionist, the line count may be off by one or two lines.
  2. On occasion if the patient id, patient name, and gender are typed and the user tabs off the gender field, the cursor will skip the birthdate field and move to the appointment date field. Workaround: perform a back tab to get to the birthdate field or use the mouse.
  3. When a higher priority job loads into the dictation queue, a message dialog will appear asking the user if they would like to move to the higher priority job. On rare occasions if the user clicks enter or presses the enter key, the focus will not automatically move to that job. Note: This is only an issue if the option to mark "Prompt When High Priority Received" is turned on.
  4. Remove Remaining [Fields] (Ctrl + [) option located under the Template menu does not work.
  5. When editing multiple jobs and hitting F12, the changes made to the last job in the queue are not being saved.
  6. Typing certain special characters such as an asterisk in a non-VR editor produces an error.
  7. Selecting Spelling and Typing Options from the Options menu results in a sporadic error message.
  8. Expanding Autotext in a table will sometimes place text in the wrong cell or outside of the table.
  9. Copying and pasting from an AnyModal editor into the Autotext editor results in an error.
