With over 100 orthopedic physicians serving more than 500,000 patients in Northeastern Illinois each year, Illinois Bone and Joint Institute (IBJI) has a sizable documentation workload. Recognizing dictation as the most efficient means of detailing patient encounters and facilitating communication with other physicians, IBJI chose to employ a team of in-house transcriptionists to manage their documentation needs until 2010 when they outsourced that part of their business.
In 2011, because a considerable share of the budget was allocated to transcription services, IBJI set out to find lower cost alternatives. They evaluated the field of documentation vendors and ultimately selected Emdat because of the company’s unique pricing model which promised to meet their goal of cost-effective, quality transcription services. In addition, Emdat’s single medical dictation and transcription platform offered multiple features that could dramatically improve workflow and clinician productivity.
Cost- and time-saving features produce decrease in documentation costs while increasing clinician satisfaction
IBJI - Libertyville was the first division of IBJI to begin using the Emdat solution in January of 2012. With seven physicians and four locations, their busy division serves approximately 35,000 patients a year. To maximize cost savings, IBJI uses speech recognition in conjunction with Emdat's exclusive Qualified Text capability that reduces the amount of typing required and, therefore, limits transcription fees. Emdat worked to establish an extensive library of Qualified Text templates based on sample transcriptions provided by IBJI to optimize time and cost.
IBJI clinicians adjusted quickly to using Emdat Mobile on both the Apple iOS and Android mobile devices to fully document their patient encounters. Thanks to a seamless ADT (admissions, discharge, transfers) interface, the clinicians are greeted with their daily patient schedule that serves as a documentation worklist. After clicking on the patient name, the clinicians simply choose the appropriate dictation and document template and begin recording, viewing patient transcription history for reference, if necessary. Once transcribed, documentation can be reviewed, edited and electronically signed on the same device. Authenticated, high quality documents are automatically printed or faxed, and uploaded directly into their EHR system.
"With Emdat Mobile, providers can see their patient schedule, dictate on the fly, upload, review, edit and authenticate with ease," said Clara Joyce, Practice Administrator of IBJI - Libertyville. "It gives them the freedom to focus on their patients during exams and quickly complete the task of documentation."
In just three days and with minimal training, the clinicians and staff were 100% comfortable using the app. "Emdat Mobile’s robust functionality allows our physicians to document on the go, saving us both time and money," Joyce explained.
Emdat's auto-fax feature was a vast improvement over IBJI's previous "snail mail" method of communicating with referring physicians. Transcriptions are now automatically faxed to recipients based upon predetermined criteria and trigger points. By uploading an associate physician database, administrative staff is no longer required to manage the tedious task of printing letters, stuffing envelopes and preparing mail. The soft cost of administrative time and the corresponding hard costs of printing and postage were virtually eliminated.
On the heels of the successful implementation at the Libertyville Division, Emdat brought the remaining locations onto the system with similar results. After just six months, all IBJI providers use Emdat to complement their EHR. Across its divisions, IBJI has enjoyed a 50%, year-on-year average cost savings in documentation and correspondence costs.
